SUMMARY
Prepares, screens, routes, files, and distributes law enforcement and public safety reports and records by performing the following duties.
**This position is safety-sensitive and subject to random drug and alcohol testing.
ESSENTIAL DUTIES AND RESPONSIBILITIES
The statements below describe the general nature and level of work the individual(s) assigned to this position perform. - Take offense reports approved by a shift supervisor and ensure the correct computer coding for each offense reported.
- Disseminate reports to the appropriate department, District Attorney’s Office, or court as directed.
- Process all CR-43's and 44's
- Forward DIC 23, 24, and 25 forms to DPS Austin, ALR Division
- Process all arrest folders upon prisoner release; ensure proper paperwork is filed accurately and correctly.
- File all offense reports, arrest reports, and dispositions sheets.
- Make copies of accident reports upon request; prepare personal history requests as directed.
- Make copies of offense reports as requested by other agencies, such as the Adult Probation Department or other law enforcement agencies.
- Process correspondence, i.e., research work covered under the Open Records Act, release information as requested and authorized.
- Assist dispatch by answering phones; may answer 911 calls; fill in for dispatchers during breaks and meals as needed. Fill in for dispatch when necessary to cover shifts.
- Transfer old files to a digital disc for storage.
- Compile city monthly reports for the preceding month's data for the Chief of Police.
- Make copies of all accident reports and forward to Austin.
- Compile and complete U.C.R. report by the sixth of each month
- Complete quality Control Validation information and mail it to D.P.S. Crime Records division.
- Searches and retrieves information from files, microfiche, computer records, and other documents in response to specific requests.
- Sorts, reviews, and screens police reports for accuracy and completeness before forwarding to the district attorney, defendants, victims, and other government agencies.
- Answers phone calls for the records bureau and responds to various requests for information concerning records and department functions and policies.
- Performs other related duties assigned and required.

Education and Experience
- High school diploma or general education degree (GED)
- One to three months of related experience or formal training
- Dispatch and clerical experience are preferred but not required.
Skills
- To perform this job successfully, an individual should have computer knowledge of Database software and Word Processing software.
- Must be able to deal with the public, other agencies, and all department personnel.
- Ability to read and comprehend simple instructions, short correspondence, and memos.
- Ability to write simple correspondence. Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
- Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
- Ability to deal with problems involving several concrete variables in standardized situations.
